Responsibilities
- Manage VP’s and 3 Staff members calendar(s), travel, meetings, and daily schedules.
- Manage all visitors related processes: Visa process, agenda, meals, airport letters, Taxis, and other services.
- Interact cross-functionally with departments, employees, vendors, or customers.
- Help with planning and organizing logistics for events, dinners, team offsites, and other activities.
- Provide timely response to emails, voice-mails, and written correspondence on behalf of the manager.
- Budget reports tracked and reconciled with department spending.
- Assisting and leading high-profile projects, off-shore executive visits.
- Liaison to the corporate office, other business units, and functional groups.
- Ensure a high level of service and accuracy in answering questions internally at the company and externally (vendors and partners).
- Maintain and create accurate databases and spreadsheets to track business unit information.
- Assist with organizational chart maintenance for functional groups or business units.
- Research and analyze data within the context of a project, business unit needs, or company direction and make recommendations for improvements.
- Communicate clearly at multiple levels and with diverse audiences.
- Effectively organize and maintain the business environment for the business unit and executives.
- Handle multiple tasks while being flexible as priorities and focus can change rapidly.
Qualifications
- Very strong written and verbal communication skills and high English level.
- Very strong service-orientation.
- Project management experience, including the development of high-profile project plans and successful execution.
- Event planning to include support for large meetings, off-sites, and team motivation events.
- Experience in managing high volumes of emails, phone calls and coordinations.
- Proven experience working in a fast-paced tech environment while providing superior service levels.
- Must be proactive, take ownership, and have demonstrated problem solving skills.
- Proficient in the use of Microsoft Office & Google suite tools.
