Job Overview
Intuit is seeking an Executive Assistant Business Partner based out of our Plano, TX office to be a strategic business partner to the Director of Customer Success, and two or more Directors. This EA will be responsible for performing a wide variety of administrative duties. The ideal candidate is professional, highly organized, self-motivated, and capable of managing their workload as well as their executive’s workload, efficient at event planning, and prioritizing tasks in a fast-paced environment. We are looking for creative problem solvers with a passion for innovation to join our team and revolutionize the way the world does business.
Responsibilities
- Proactive management of heavy and complex calendars and scheduling to support teams based on a thorough understanding of business priorities
- Partner across organizational boundaries to deliver outcomes with other Executive Assistants and business partners.
- Plan and support events for large meetings, off-sites, team motivation, and virtual events
- Ability to juggle multiple priorities and work streams while remaining calm and composed
- Plan, coordinate, and ensure schedule is followed and meticulously prioritized, informing of upcoming commitments and responsibilities, following up appropriately
- Possess a high degree of initiative to take independent action and be able to always exercise proper judgment
- Be trustworthy and able to exhibit a high degree of confidentiality and integrity
- Be the “eyes and ears” of the team and be sensitive to the needs of employees
- Managing and reconciling expense reports on behalf of the leaders
- Maintain organizational charts and email distribution lists
- Have a keen understanding of the organization – the vision, business direction, and mission
- Build culture and engagement across the team and site
- Be approachable and eager to provide counsel and direction to team members/peers
- Takes initiative on researching, implementing, and improving systems and processes
- Coordinate purchasing, travel and expenses in adherence with company guidelines
- Assist in data gathering and lightweight analysis for business deliverables
- Arrange logistics for key visitors to the Plano site
Qualifications
- Minimum of 5+ years working at the Executive Administrative level, effectively supporting and managing calendars for multiple leaders at one time. An associate or bachelor’s degree is a plus
- Advanced Outlook calendar management is critical
- Proficient knowledge of Google Workspace (Slides, Sheet and Doc), Box skills, Windows desktop computer applications, Microsoft Office (Word, Excel, PowerPoint)
- Strong organization, project management and problem-solving skills
- Possess strong interpersonal skills, as well as a strong customer service perspective (internal, as well as external), and can handle issues with respect, dignity, sensitivity, and urgency
- Friendly and professional demeanor, with a “can do” attitude
- Heavy travel coordination, planning, and arrangements
- Ability to act quickly from one task to another, seamlessly and professionally
- Be highly proactive and take ownership to anticipate needs and adept at managing up and downstream to ensure deliverables are met timely and accurately
- Must be able to work independently, have a commitment to high levels of customer service and excel in a deadline-driven environment that involves multiple, simultaneous projects
- Builds and maintains strong relationships and influences others to take action
- Excellent verbal and written communication, tech savvy with experience using a variety of collaboration and productivity tools
