Job Overview

We are searching for a highly skilled and experienced Senior Executive Assistant Business Partner to support our SVP, Customer Success. This role requires exceptional organizational skills, strategic calendar management, seamless meeting coordination, and the ability to build strong relationships with internal and external stakeholders. The ideal candidate will be a proactive problem solver who thrives in a fast-paced environment and is committed to delivering exceptional support to the executive team.

Responsibilities

  • Strategic Calendar Management: Proactively manage the SVP's complex and dynamic calendar, ensuring optimal use of time and alignment with Intuit's priorities.
  • Seamless Meeting Coordination: Orchestrate high-level meetings, including scheduling, agenda creation, and diligent follow-through on action items.
  • Travel Planning: Coordinate domestic and international travel arrangements, meticulously handling itineraries, accommodations, and logistics.
  • Expense Management: Prepare and submit expense reports accurately and promptly, adhering to Intuit's policies.
  • Stakeholder Relations: Serve as the primary liaison between the SVP and internal/external stakeholders. Skillfully manage and prioritize incoming requests, escalating urgent matters as needed to ensure timely resolution. Build and maintain strong relationships, including coordinating with other executive assistants to ensure alignment across the leadership team and promote a "One Intuit" mindset.
  • Executive-Level Communication Support: Collaborate on and prepare materials for executive meetings, board presentations, and company town halls, ensuring they reflect Intuit's brand and messaging. Assist in creating and reviewing reports, presentations, and other documents, ensuring accuracy, completeness, and adherence to Intuit's brand guidelines.
  • Event Coordination: Organize and manage logistics for team offsites, strategic planning sessions, and other events, fostering a collaborative and productive environment.
  • Special Projects: Lead or support special projects and initiatives on behalf of the SVP, often involving cross-functional teams. Develop and maintain project timelines, track progress, and ensure timely completion. Coordinate with various departments to gather information and resources. Provide regular status reports and updates to the SVP on project progress.
  • Team Support: Assist in onboarding new team members and contribute to a positive and inclusive team culture by coordinating team-building activities.
  • Continuous Improvement: Continuously evaluate and enhance administrative processes to increase efficiency and effectiveness. Identify opportunities for automation and digital transformation, aligning with Intuit's focus on innovation.
  • Professional Development: Stay updated on industry trends and best practices. Participate in relevant training and development programs to enhance skills and knowledge. Share learnings and best practices with other executive assistants in the organization to contribute to a culture of continuous learning.

Qualifications

  • 7-10 years of experience as an Executive Assistant, with a proven track record of supporting high-level executives.
  • Highly proactive, with the ability to anticipate needs and effectively manage both upward and downward communication to ensure timely and accurate delivery of tasks.
  • Trustworthy with demonstrated ability to exhibit a high degree of confidentiality and integrity and exercise excellent judgment at all times.
  • Collaborative team player who enhances team performance and focuses on overall organizational success.
  • Skilled at managing multiple priorities in a dynamic environment while maintaining composure and efficiency.
  • Excellent verbal and written communication skills including the ability to communicate with all levels of the organization.
  • Advanced proficiency in Outlook calendar management and expert-level knowledge of Windows desktop applications, Microsoft Office, and Google Suite/Workspace.
  • Exceptional time management abilities, including the capacity to prioritize tasks and work independently in a fast-paced environment.
  • Demonstrates adaptability and enthusiasm for personal growth and new challenges.

Intuit provides a competitive compensation package with a strong pay for performance rewards approach. The expected base pay range for this position is Southern California $50.50 - 68.50 / hour. This position will be eligible for a cash bonus, equity rewards and benefits, in accordance with our applicable plans and programs (see more about our compensation and benefits at Intuit®: Careers | Benefits). Pay offered is based on factors such as job-related knowledge, skills, experience, and work location.
